Stanford University is seeking an Administrative Services Administrator 2 to serve as the Emergency Medicine Clinical Research Unit’s (EM-CRU) Project Manager. The person in this position would work closely with the EM-CRU Faculty Director, EM-CRU Director of Growth and Development, and EM-CRU Clinical Research Manager. This role will be a critical addition to Emergency Medicine Clinical Research Unit to provide leadership and oversight for multiple industry-sponsored clinical trials.

The EM-CRU Project Manager will be responsible for overseeing and supporting day-to-day trial operational activities as well as coordinating between the different internal and extreanltrial leadership groups and stakeholders. In addition, the Project Manager will develop Gantt charts and operational plans to coordinate key activities including trial start-up, staff training across the organization, monitor day-to-day study execution, recruitment and enrollment activities, oversee study staff across all functions and locations, and manage the study budget. The Project Manager will also responsible for designing the study patient care workflows and reviewing successful execution of those workflows at regular intervals.

The Project Manager position will be more external facing with an emphasis on research operations across three clinical research studies in the EM-CRU research portfolio. Specifically, this person will 1) engage with physician-investigators to operationalize their research projects or clinical trials, 2) liase with and manage internal and external stakeholders to ensure study activities are completed within the projected timelines throughout the full research study lifecycle, 3) develop and implement project management tools to effectively manage multiple trials across the EM-CRU portfolio, 4) assist in the development of EM-CRU project management procedures and policies, and 5) develop relationships with internal and external partners as warranted.

The objective is for the EM-CRU to be a service to the School of Medicine and Stanford Health Care community for early phase adult and pediatric patient enrollment occurring during the emergence care phase of their contact with the clinical environment. This includes developing and maturing the logistics of follow up beyond an emergency department visit or contact prior and enabling the department to be a nimble collaborator with industry.

Duties include:

  • Developing and maintaining timelines and an operational plan using Smartsheet, or equivalent, project management software.

  • Establishing and executing real-time communication management, project management, and risk assessment and mitigation plans.

  • Organizing all aspects of meetings and committees. Overseeing meetings and review the status of the timelines, milestones, and metrics; changes in scope of work; budgeted versus actual expenditures; and key issues or problems.

  • Monitor the scientific, infrastructure and resource needs of the projects in the light of resource availability and make necessary corrections, if needed.

  • Assess training needs and develop associated training plans and training content.

  • May direct and/or supervise staff. Educate research staff on established policies, processes, and procedures.

  • Supervise the implementation of and adherence to study protocols.

  • Lead the planning and operations for programs or functions that have significant business, regulatory and/or technical challenges requiring subject matter expertise.

  • Evaluate programs or functions, policies and procedures. Identify issues, and develop alternative solutions which may include changes to programs, policies and procedures.

  • Review and analyze trends to advise and develop recommendations to achieve or modify the goals of the program or function.

  • May develop and/or oversee budgets; manage finances including monitoring, analyzing, forecasting, and reporting.

EDUCATION & EXPERIENCE (REQUIRED):

Bachelor's degree and five years of relevant experience, or combination of education and relevant experience.

CERTIFICATIONS & LICENSES:

Society of Clinical Research Associates, PMP, or Association of Clinical Research Professionals certification is preferred.

PHYSICAL REQUIREMENTS*:

  • Occasionally use a telephone.

The expected pay range for this position is $95,000 to $141,000 per annum.
