POSITION NAME:

Service Contract Administrator

DESCRIPTION:

Manage and plan contracts and orders of services accorded between the client and the company, with systematic approach in compliance with standards of quality, time and budget.

PURPOSE OF THE DUTIES AND RESPONSIBILITIES:

· Integral responsibility on the orders of Antofagasta and Santiago, Fire Services, Field Service and guarantees of services services.

· "ownership" of the financial outcome of the assigned orders in terms of gross margin and inventory costs. Tracking of orders. preparation of accurate estimates and projections. analysis and management of risks and opportunities.

· Monitoring of a correct planning of the execution and deadlines for projects and orders.

· Solution of problems and conflicts.

KPI:

Gross profit, deliveries OTP, time entry of orders, registration cost of non-quality and other KPI defined by customers.

Specifics Tasks

  1. Maintain fluid and speedy communication to the headquarters and the client on the development of contracts, according to the competition that has this information.

  2. Develop and ensure optimal channels of communication and coordination for the management of orders with the ITT factories, especially for the treatment of dilemmas, deviations, contingencies or emergencies.

  3. Maintain the best relations with the client, delivering timely information required for the fulfilment of commitments.

  4. Coordination of operational activities, planning and continuous improvement, through regular meetings with staff from the area and workshop.

  5. Establish coordination with external support areas and operational areas of the customer.

  6. Make the opening of the service within the service module in system Iscala, ensuring that load of men hours and materials costs, correspond faithfully to the service

  7. Perform continuous monitoring to all orders in charge.

  8. Analyze and evaluate periodically all the resources of the contracts and their proper use, in order to carry out a cost effective management of contracts in Gross Profit and inventory.

  9. Direct and coordinate the General guidelines of an efficient maintenance of processes, ensuring operability and caring for operational assets.

10.Support to review, assess and compare vendor offerings, optimizing costs and deadlines.

11.Have a general knowledge of all services in execution, progress States, deadlines, amounts and areas of execution.

12.Control the planning of services and relevant projects through the Gantt chart or other techniques.

13.Check receipt of purchase orders, associated with the services.

14.Regular updating of the file Orderlog, management tool for decision-making in the area.

15.Consider corrective actions in the development of their activities before preventive actions.

16.Provide opportunities for improvement in the quality of services developed by ITT resolution of problems and responses to internal and external customer claims.

17.Comply and enforce procedures established the company in your area or position; in particular those that have to do with security, ISO - 9000 quality and Compliance.

FUNCIONES

  1. Mantener comunicación fluida y expedita sobre el desarrollo de los contratos a la Jefatura y la Administración del representante del Cliente, según la competencia que tenga esta información.

  2. Desarrollar y procurar óptimos canales de comunicación y coordinación para el manejo de órdenes con fábricas de ITT, especialmente para el tratamiento de dilemas, desviaciones, contingencias o urgencias.

  3. Mantener las mejores relaciones con el cliente, entregando oportunamente la información requerida para el cumplimiento de los compromisos asumidos.

  4. Coordinar al interior del contrato las actividades operacionales, de planificación y mejoramiento continuo, con reuniones periódicas con personal del área y taller.

  5. Establecer coordinación con las áreas externas de apoyo y áreas operacionales del cliente.

  6. Realizar la apertura del servicio dentro el módulo de servicio en el sistema Iscala, procurando que la carga de horas hombres y costos de materiales, correspondan fielmente al servicio.

  7. Realizar seguimiento continuo a todas las órdenes a su cargo.

  8. Analizar y evaluar periódicamente todos los recursos de los contratos y su adecuado uso, de manera de realizar una gestión rentable de los contratos en Gross Profit e Inventario.

  9. Dirigir y coordinar los lineamientos generales de una mantención eficiente de los procesos, asegurando su operatividad y cuidando los activos operacionales.

10.Apoyo en revisar, evaluar y comparar las ofertas de proveedores, optimizando costos y plazos.

11.Tener un conocimiento general de todos los servicios en ejecución, estados de avance, plazos de ejecución, montos y áreas de ejecución.

12.Controlar la planificación de los servicios y proyectos relevantes a través de la carta Gantt u otras técnicas.

13.Revisar la recepción de órdenes de compras, asociados a los servicios.

14.Actualización periódica del archivo Orderlog, herramienta de gestión para la toma de decisiones del área.

15.Considerar en el desarrollo de sus actividades las acciones preventivas ante las acciones correctivas.

16.Proporcionar oportunidades de mejora en la calidad de los servicios que desarrolla ITT

17.Resolución de problemas y dar respuestas a los reclamos del cliente interno y externo.

18.Demás actividades inherentes a su cargo y aquellas que le sean asignadas por el jefe inmediato.

19.Está prohibido suministrar información confidencial de la compañía a personas ajenas a ellas.
